A recovery plan is a document, not a product

Every business we audit in Pretoria has some form of backup. Almost none has a recovery plan: a written answer to what happens on the morning the server is dead, the office is flooded or every file ends in .locked. Who phones whom, which system is restored first, onto what hardware, from which copy, and how long the business can survive without each one. That document, and the test that proves it works, is disaster recovery. The backup is just the raw material.

We write the plan with you in plain language, size the backups to match it, and then test it: a random file restore every month, and a full system restore on a schedule, with the result reported. When the bad day comes, the plan is followed, not invented.

  2. 2The plan: recovery order, time targets per system, and the backup design to meet them, in writing, with a price.
  3. 3Setup: backup agents, off-site and cloud copies, Microsoft 365 backup, UPS and shutdown configuration.
  4. 4First full test restore, timed, with the result in the plan.
  5. 5Ongoing: monitored daily, tested on schedule, the plan revised when the business changes.

Disaster recovery questions answered

What is the difference between backup and disaster recovery?

A backup is a copy of your data. Disaster recovery is the written, tested plan for getting the business working again after a fire, flood, theft, ransomware attack or dead server: which systems come back first, from where, on what hardware, within how many hours, and who does what. Many Pretoria businesses have backups and no recovery plan, and find out during the disaster that the backup takes three days to restore.

How fast can you get us running again?

It depends on the plan you choose, and we put the number in writing. A typical small business with cloud backup of computers and Microsoft 365 is working again on replacement hardware within one business day. A server with an image-based backup restores in hours, not days. Without a plan, a rebuild from scratch takes a week or more.

Do you test the backups?

Yes. A backup that has never been restored is a hope, not a backup. On the Fully Managed package restores are tested; on Enterprise they are tested quarterly and the result reported to you. A test restore of a random file and of a full system is part of the schedule.

Does this protect us from ransomware?

It is the only thing that reliably does. Antivirus and firewalls reduce the chance of infection; an offline or immutable backup means that if the worst happens you restore yesterday's data instead of paying. Our backups keep versions the attacker cannot reach from your network.

We are in Microsoft 365. Is our email not already backed up?

No. Microsoft keeps the service running; it does not keep your data for you. A deleted mailbox is gone after the retention window, and ransomware syncs into OneDrive and SharePoint like any other file. We back up Microsoft 365 mailboxes, OneDrive, SharePoint and Teams nightly to separate storage.

What about load-shedding and power damage?

Power is the most common disaster in Gauteng. The recovery plan covers it: UPS sizing so servers shut down cleanly, surge protection, and a cloud copy of the data so a damaged server does not take the business down. The load-shedding pack is included on the Fully Managed and Enterprise packages.

How much does disaster recovery cost?

Cloud backup of computers and email, with tested restores, is included in Fully Managed IT at R950 per user per month. A stand-alone disaster recovery plan and setup is quoted after a short audit at R750 an hour; most small business plans are a few hours of work plus the backup subscription. Do you cover Johannesburg and the rest of Gauteng?

Yes. The plan is written and the backups are monitored from our Centurion office; on-site work in Pretoria, Midrand, Sandton, Johannesburg and the East and West Rand is charged at the published R650 callout.
